1. Overview

Ramsden Tennis is managed by the Tennis Court Committee (TCC) on behalf of the Ramsden Parish Council. The Parish Council owns the tennis court and holds responsibility for its upkeep and finances, while the TCC looks after day-to-day administration, membership, and bookings.

2. Membership

  • Becoming a member allows you to access and book the Ramsden Tennis Court for personal use throughout the membership year.
  • Membership is renewed annually, and fees are collected directly into the Parish Council’s bank account.
  • All membership income is ring-fenced and used only for tennis court maintenance and improvement.
  • Members agree to abide by these Terms and any future reasonable updates notified via email or the website.

3. Bookings & Court Access

  • Members can book the court online via the booking system.
  • Each booking reserves the court for the member’s exclusive use during the specified time slot.
  • The court may be accessed using the current gate code, which is provided upon joining.
  • Please do not share your gate code publicly or allow non-members to use your booking.

4. Cancellations

  • If you no longer need your booking, please cancel it through the website so that others can use the court.
  • Refunds are not issued for cancelled memberships except in exceptional circumstances at the discretion of the TCC.

5. Conduct & Responsibility

  • Members are expected to treat the court, fencing, and equipment with care.
  • Please leave the court tidy after use and respect nearby residents.
  • Play at your own risk — the Parish Council and TCC cannot accept liability for personal injury or property loss while using the facility.

6. Governance & Finance

  • The TCC manages bookings, memberships, and communications on behalf of the Parish Council.
  • The Parish Council holds all tennis-related funds in a separate, ring-fenced reserve, used solely for the tennis court’s upkeep and improvement, following agreement between the TCC and the Council.
  • Regular summaries of income and expenditure are reported to the Parish Council and may be shared publicly for transparency.

1. Who we are

2. What information we collect

We collect:

  • Your name and contact details when you sign up as a member or subscriber
  • Payment details (processed securely via our payment provider; we do not store card information)
  • Booking history and membership status

  • Manage your membership and provide court booking access
  • Send you membership updates, booking confirmations, and occasional community news
  • Maintain accurate records of payments and memberships for audit purposes

4. Legal basis

We process your data under legitimate interest (for running the tennis court facility) and/or consent (when you subscribe to updates).

5. Data sharing & retention

  • Your data will only be shared with service providers essential to running the site (for example, payment processors or email services).
  • We never sell or share data with third parties for marketing purposes.
  • Records are retained for as long as you are a member or subscriber, and for a short period afterwards as required by audit regulations.

6. Your rights

  • Ask for corrections or deletion
  • Withdraw consent for communications at any time
